This guide assumes that both the tenant and the landlord are present during the moving inspection.

Once you have completed filled in the moving inspection and gone through all the rooms and units with the tenant, it is important that both you (as the landlord or representative) and the tenant sign the report. We highly recommend using the BostadsPortal app for the inspection, as it makes it easy to sign digitally directly on your phone or tablet.

How to sign the inspection

This is an article about BostadsPortal's, free of charge, service for conducting and managing moving inspections, which is currently available in Swedish. As such, the images and some phrasing in this guide may appear in Swedish.

  1. Go to the 'Avsluta, skriv under och skicka' section when you have completed all parts of the inspection
    It is important to sign only when all information is correctly filled out, including
    1) Inspection details (Om besiktningen), 2) Tenant's information (Hyresgästens detaljer), 3) Room walkthrough (Genomgång av rum), 4) Meter readings (Avläsning av mätare), and 5) Key handover (Nyckelutlämning).

    Also, ensure that you have filled in the tenant's information correctly, including their phone number and email address, as the tenant will receive a copy of the report sent to them, along with a link for receipt confirmation.



  2. Review, sign, finish, and send the report together with the tenant

    1. Review the report together on the landlord's device
      We recommend reviewing the finished inspection report together so that all parties are clear about what they are signing. You can do this by clicking the 'Förhandsvisa protokollet' button, and the preliminary report will be displayed on the screen.

      The reason you should review the report together is to have the chance to identify any misunderstandings or input errors before signing.


    2. Landlord's signature
      Click on the white field to open the signature function. After that, the landlord can sign the report directly on the screen using a finger or a stylus.

      If you make a mistake, you can erase the signature before it is saved and try again. Save the signature to close the signature field.


    3. Once the landlord has signed, the tenant will receive a link to the report via SMS and email. After that, the tenant should click the link in one of the messages, as this will activate a confirmation message of receipt in the final report. This way, you ensure documentation that the tenant has received a copy of the report, as required by the tenancy law.


    4. Tenant's signature
      Click again on the white field to open the signature function. After that, the tenant can now sign the report directly on the screen using a finger or a stylus.

    5. Complete and send the report
      Save and finish the moving inspection by clicking the 'Skicka och avsluta' button.

    6. Both the landlord and the tenant will now receive a confirmation of the completed moving inspection via email
      The email includes a confirmation that there is now a signed report linked to the lease agreement.
